Coordinator – Documentation & Communications

Role Overview
Coordinator – Documentation & Communications will primarily lead and execute overall project documentation, reporting, and communication strategies for the projects implemented by the organization. also, this role will support internal/external communications, knowledge management, and advocacy for the Secretariat of the International Alliance/Forum.
Reporting to the Country Chair / Executive Director / Head of Program / Deputy Director, this role serves as the key hub for capturing project impact, producing donor deliverables, managing institutional knowledge, and supporting secondary engagement with the Alliance network.
Key Responsibilities
1. Project Documentation & Knowledge Management
● Project Impact & Donor Reporting: Lead the end-to-end process of drafting, editing, and compiling high-quality donor progress reports, annual reports, field case studies, and impact stories for all organization-led projects.
● Project Knowledge Repository: Establish and maintain an organized, user-friendly digital repository to store all project deliverables, research, baseline/endline studies, tools, and field evidence.
● Project Meeting Synthesis: Record, synthesize, and track action points from project review meetings, donor monitoring visits, and internal technical sessions.
2. Project Advocacy & External Visibility (Primary Focus)
● Field-to-Policy Content Translation: Work closely with project and technical teams to translate field data, monitoring findings, and case studies into clear policy briefs, infographics, press releases, and digital campaigns.
● Project Communication Materials: Develop communication collateral (brochures, fact sheets, success stories) to highlight project achievements to donors, government counterparts, and stakeholders.
3. Alliance / Forum Support
● Network & Alliance Communication: Assist in preparing regular newsletters, updates, and documentation for the Secretariat of the International Alliance/Forum.
● Governance & Secretariat Meetings: Support the recording of minutes, action points, and analytical summaries for Alliance Steering Committee meetings, General Assemblies, and working groups as needed.
● Alliance Digital & Co-Branding Management: Help maintain the Alliance page/website and ensure compliance with joint-branding guidelines alongside organization branding.
Required Qualifications & Experience
● Education: Master’s or Bachelor’s degree in Communications, International Relations, Public Policy, Journalism, Development Studies, or a related field.
● Experience: Minimum 3–5 years of proven professional experience in project documentation, report writing, and strategic communication within development projects or NGOs. Experience with international alliances/networks is an added advantage.
● Skills: Strong report writing and editing capabilities in English; ability to synthesize complex project data into engaging narratives; proficiency in digital collaboration and document management tools.
